Layout how individuals will be seated and how movements will be facilitated. Have a variety of these before picking one format so as to eliminate mistakes of congestion and space wastage. Allocate sufficient space and groupings to various divisions.

Work on coming up with measures which are to be used for security. Security is a factor that needs to be stressed out when making preparations.
